PROJECT ADMINISTRATOR
Project: “Creation of a health network in Kenya, Tanzania and Uganda” AID 012519/01/1
Qualifications: The selected person must have a background (Bachelor’s degree/specialisation) in political science, economics, development cooperation or similar. Specialisation in international cooperation/international relations and/or project cycle management (PCM) (preferred).
Language skills: Excellent knowledge of written and spoken English (C1).
Required experience: > 4 years of experience in administrative, reporting and logistical management, preferably of AICS projects.
Previous experience and skills
- Previous experience in administration and reporting of AICS projects, especially with RBM approach;
- Previous experience in multi-sectoral project administration;
- Previous experience in administration of various partners entrusted with part of the budget;
- Knowledge of management tools for planning and monitoring international cooperation projects;
- Knowledge of tools for the administration and accounting (management programmes) of cooperation projects, with particular reference to procurement and reporting procedures for AICS and EU projects (PRAG);
- Strong leadership and interpersonal skills;
- Flexibility and ability to work under pressure and in different cultural contexts.
Preferred:
- Previous experience in the geographical area of reference;
- Experience in project cycle management.
Planned assignments:
- The project administrator ensures the proper management of the project’s administrative and accounting documents;
- Ensures proper management of the financial plan, bank accounts and their reconciliation on a monthly basis;
- Ensures the correct administrative management of the project staff (salaries, contracts, holidays, leave, etc.);
- Collaborates with the Project Coordinator, the Project Manager, the Administrator of World friends in Kenya, the accountant and the HQ in Italy in the drafting of the financial statements and the project audit
- Ensures the uniformity of administrative procedures in accordance with donor and organisational requirements;
- Verifies the correct execution of procurement and cost allocation procedures, based on project budgets, in co-operation with the management and administration consultant
- Supervises the correct management of the budget by the partner(s) at the administrative-accounting level
- Prepares regular narrative and financial monitoring and reporting documentation, in accordance with the organisation’s internal procedures and those of the donor;
- Schedules, manages and supervises the purchase of goods and services related to the project;
- Participates in the drafting of project documents (TdR, notes, budget, etc.) and financial reports to be presented to the donor, in collaboration with the World Friends administrator, the project coordinator and the Project Manager.
Place of work: Nairobi
Candidate’s current presence in Kenya is a pre-requisite.
Collaboration start date: by 1 March 2025
Contract duration:6 months renewable
