WeWorld-GVC, recently constituted from the merger of two NGOs, is an Italian secular and independent organization working since 1971 in international cooperation and humanitarian aid. Job description
WeWorld-GVC is recruiting a Programs Assistant for the area of Middle East and Asia (MEA), she/he works under the direct responsibility of the Desk Officer MEA.
Main functions and duties
- Provide Secretarial and Logistic Support
- Upon request, respond or drafts responses to routine correspondence and other communications
- Proof-read documents and edit texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format
- Provide secretarial and administration support to the IPD team preparing and/or processing administrative requests/documents
- Maintain calendar/schedules monitoring changes and communicating relevant information to appropriate staff
- Maintain and update logs, files and records in established format for future use
- Review, record, distribute and/or process mail and other documents including follow-up
- Attend meetings, prepare minutes, and monitor follow-up activities
- When requested make travel and hotel reservations, prepares travel documentation including visa and insurance for expatriate staff and IPD team members Country Offices visits
- Respond to information requests and inquiries (e.g. file search, etc.), and as necessary, refer inquiries to appropriate personnel for handling
- Provide Administrative and Programmes Support
- Assist DESK Officer (DO) in compiling all necessary supporting documentation for project proposal submission
- Preparing and monitoring checklists of all the administrative documentation needed for the project proposals
- Support the DO in a wide range of office support and administrative functions according to related SoPs
- Support the production of ad-hoc material (i.e. for communication, donor engagement, etc.) based on programmes information
- Support the production of projects profiles for WeWorld-GVC website
- Assist in the preparation of presentation materials using appropriate technology/software.
- Where applicable, assist in the verification of receipts and accuracy of requisite documents, approvals and signatures to ensure compliance with relevant legal, financial and other requirements.
- Perform general administrative tasks (e.g. arrangements for meetings and training workshops, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.)
- Perform other duties as assigned by DO, Regional Coordinator and International Programmes Director.
ESSENTIAL REQUIREMENTS
Qualifications and Knowledge:
- Possessing a Bachelor or Master degree in International Relations, Political Science, International Cooperation or other relevant field.
- Fluency in Italian and English (advanced verbal and written skills).
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Previous experience international NGOs will be considered an asset.
Professional experience:
- At least 1 year of professional experience in an international NGOs
Skills and Abilities:
- Capable of working in team and supporting staff
- Excellent communication skills and sensitivity in dealing with partners and stakeholders on critical issues.
- Very flexible, patient and with a positive attitude.
- Dynamic and willing to take initiative to complete tasks assigned.
- Problem-solver approach with demonstrated resourcefulness in setting priorities and creating efficiencies.
- Strong commitment to the Mission of WeWorld-GVC, genuine interest for international cooperation development topics.
- Demonstrates integrity by modelling the NGO values and ethical standards; displays cultural, gender, religion, race, nationality and age sensitivity and adaptability.
